Wanna help out?

     

The first volunteer meeting this week was a success. There is a great mix of East Ridge and Bear Creek volunteers helping out, but we still need to fill a few more positions! Some of these are specific to one school, others are general and can be a volunteer from either school. To see what spots are available, please check out the Contact/Committee page. Let an auction chair know if you are interested in filling one of these spots or for more information. The auction work party and procurement party teams can have unlimited volunteers–these are super fun work parties where you get to hang out with your neighbors, eat some snacks, and of course, help out the auction!

AND that leads us to the first Procurement Party–Tuesday October 11th, 10am-2pm at Nicole Marshalek’s residence. Come for the whole time or whatever works with your schedule. Please bring your laptop! These parties consist of filling out online forms requesting donations from various companies–no phone calls. Snacks and drinks will be provided.

Volunteer Meeting — Tuesday

Our first auction volunteer meeting is this Tuesday, October 4th at 7pm in the East Ridge Elementary School Library. Please come to find out about the open positions and maybe join in on the fun! There are small and large volunteer spots available.

Changing times, NEW auction!

*NEW* Bear Creek PTA and East Ridge PTA Joint AUCTION

The ABC Auction Committee has decided, after a year of thinking about what our community will look like in the 2017-2018 year, to discontinue the ABC Auction and its partnership with Northshore Schools Foundation. Instead, the auction will continue to live on as the main Bear Creek PTA fundraiser. We will be joining forces with the East Ridge PTA to maintain the community ties we have with East Ridge Families. Everyone involved is very excited and we are still in the beginning stages of figuring out how it will all work and starting to plan for the event. This new alliance will be called BEcommunity Auction.

Preliminary Information

By discontinuing the ABC Auction, what the auction can fund will change. The funding will no longer be able to be used to support additional staff hours at Bear Creek because PTA’s are not allowed to pay for staffing.

The funding will now support all of the PTA programming and will become the main PTA fundraiser. The auction will continue to be held in the spring and will support the following year’s PTA budget. (The funds raised at this year’s auction, April 29th, 2017 will be the funding for the 2017-2018 school year).

Please know that this decision was not an easy one. As our school declined last year by 70 students to 430, we had a ~40 guest loss at the auction from 192 down to 156. As we think about our school being closer to 300 students, the lower numbers will make it difficult for an auction to raise enough money to continue supporting the same programs. By combining with East Ridge, a joint auction will give us the larger numbers we need to support PTA at both schools.

We will continue to update you as we have more details on this new alliance. We are starting to work on a new website and will release that information as soon as possible.

Auction Items up, class projects coming soon

There are just a few more days until the auction! We hope you have a babysitter and your outfit ready to go too! If you’re interested in doing a little pre-shopping this year–check out the Auction Items page for the silent items and Live Auction for the live items. I’m going to work on getting all of the class projects up on that page and also a page for all of the sign up parties that will be available this year. See you soon!

The presale for the 50/50 Raffle is still going on–This is open to all families, auction attendance is not required!

Less than a month away! 1st Class Project Complete

Baskets

We will be assembling the auction baskets on Friday May 13th. We will need all items for the baskets to arrive before that date so they can be assembled. If you would like to donate to your class basket–or would like to adopt a basket you can still do so! But do it now! We still have some very lonely baskets that are waiting for adoption. Email Kate Dick (katedick@comcast.net) to adopt.

We’re looking for wine for a few of our games. If you have wine sitting around from all of your wine clubs or would like to purchase some to donate, please email Nicole Marshalek (nicolemarshalek@gmail.com) or Jeana Fisher (jeanacfisher@gmail.com) to arranage a pick up/drop off.

Auction Cashiering

We will be using the SQUARE system that we used last year for cashiering. Their costs are the lowest that we’ve been able to find, saving us around $1000 in credit card fees last year. The procedure will be the same for payment as last year–we will NOT be handing out final receipts the night of the auction. We will email you a receipt the following week with your auction purchases. Within this email will be a secure link to pay your receipt via credit card. As guests last year, you were great and paid in a timely fashion–Thank you! If you would like to pay with cash or check, you can still do so the night of the auction. When you check in, please let registration know. (Registration will not have any cash the night of the auction to make change).

Please Make Checks Payable to Northshore Schools Foundation!

Several classes are doing individual projects and presale raffle tickets will be coming up–All checks need to be made to Northshore Schools Foundation. (all of our accounting runs through the Foundation). If you are donating to help offset the cost of your class auction project (usually $5-$10) those checks should be made payable to the class volunteer.

Don’t forget to figure out what you’re going to wear and line up your babysitter now–the auction is only 3 weeks away!

 

 

Don’t forget about tickets and baskets!

ticketWe still have a few auction tickets left to sell, so we’ve extended the deadline. If you’re wanting to come to the auction–please purchase your tickets on the Event/RSVP page now! You can also view the full menu and event timeline there. We will sell tickets until we reach our 170 limit or we have to turn our final number into Willows Lodge in mid April.

Baskets

Many of the classrooms have adopted baskets for the auction–check to see if your class has on the Baskets page. If you would like to choose a basket for your class to adopt, please email Nicole Marshalek (nicolemarshalek@gmail.com) or Kate Dick (katedick@comcast.net) and let them know which basket you would like. The auction committee will be putting baskets together the week before the auction.

The ABC Auction Steering Committee has asked us to put up a place for families who aren’t attending the auction to be able to make a donation. Check out the Donate Now page to see how you can make an online donation to the auction through the Northshore Schools Foundations website.
